This is the job…

The purpose of the role is to provide administrative support to the Project Management team, including maintaining the document library, following up on outstanding issues, producing reports and providing information to all levels of the management team within Brightside.

• Liaise with project managers to ensure weekly project status reporting is provided in a timely manner.
• Manage the reporting of individual project and progress reports to Project Management team/Internal Stakeholders.
• Update on a weekly basis the project dashboard for submission to the Strategy board.
• Prepare commentary to support the weekly dashboard to the Head of Portfolio.
• Receive all requests for new projects and consolidate for the strategy board to review
• Manage the administration associated with all new project requests and allocation of project managers.
• Provide communication to the business on progress and status of all projects being managed through the PMO.
• Ensure that communication is provided on any change to process.
• Manage the central documentation library ensuring that templates are current and available.
• Aim to continuously improve processes (e.g. by introducing automation wherever possible)
• Provide resource planning data on all PMO resources to enable resource forecasting
• Will train non project department staff in PMO process so that smaller projects can be managed within the business while directly reporting into PMO with updates
• Identify positive and negative trends in the delivery of projects.
• Manage the PMO email address.
• Provide ad-hoc reporting as requested by Management and Executives.
• Maintain awareness of and follow Brightside company procedures and guidelines, including security, regulatory and quality related matters.
• Demonstrate behaviours that promote Brightside values.
• Undertake any other duties as reasonably requested.

• Experience in a similar position
• Good level of numeracy and literacy
• Able to work in an organised and methodical way in an environment where there is significant change
• IT literate with ability to pick up new systems quickly
• Experience of using Microsoft Office, databases and systems with intermediate knowledge of Microsoft Excel
